Email settings and configuration

POP3 or IMAP?

During an email setup you initially select POP3 or IMAP at the start and cannot switch from one to the other later.

POP3 downloads email and removes it from the server according to a schedule set on your email program e.g 1 week, 1 month etc. Email is stored on your computer or phone and available at any time. IMAP views email that is stored on the server and requires an internet connection to check the server.

EMAIL SETTINGS

You need to know your password. Check by using webmail at https://webmail.YOURDOMAIN.com (replace with your domain). The User Name is your full email.

  • Email Account or User: YOUR FULL EMAIL ADDRESS
  • Email Password: AS SET IN YOUR CONTROL PANEL (also used for Incoming and Outgoing server settings)
  • Incoming Server: mail.YOURDOMAIN.com (use your real domain)
  • Incoming Server username: YOUR FULL EMAIL ADDRESS
  • Password: USE YOUR EMAIL PASSWORD (even if its says Optional)  

Turn on authentication (username/password) and TLS encryption

  • Outgoing Server: mail.YOURDOMAIN.com (use your real domain)
  • Outgoing Server username: YOUR FULL EMAIL ADDRESS
  • Password: USE YOUR EMAIL PASSWORD (even if its says Optional)  

Turn on authentication (username/password) and TLS encryption if asked.  

PORTS

Typically default ports work. If not, use:

  • Incoming POP server port: 995
  • Incoming IMAP server port: 993
  • Outgoing SMTP server port: 587

After saving the configuration, send an email to yourself to check sending and receiving works.

iPhone / iPad:

  1. Open Settings.
  2. Scroll down and tap Apps > Mail (On slightly older iOS versions like iOS 14-17, go straight to Settings > Mail).
  3. Tap Mail Accounts (or Accounts).
  4. Tap Add Account.
  5. Select Other from the bottom of the list.
  6. Tap Add Mail Account.
  7. Enter your Name, Full Email Address, and Password, then tap Next.
  8. Select IMAP (preferred) or POP at the top.
  9. Enter your Incoming and Outgoing server details (mail.yourdomain.ca), along with your full email address as the Username and your password for both fields (even though Outgoing says optional).
  10. Tap Next / Save. If a certificate prompt appears, confirm to trust it.

Android

Android paths vary depending on the manufacturer but they generally route through the system settings.

  1. Open Settings.
  2. Scroll down and tap Accounts and backup (or Passwords & accounts / Users & accounts).
  3. Tap Manage accounts.
  4. Scroll to the bottom and tap Add account.
  5. Select Personal (IMAP) or Personal (POP3) — usually designated by a generic email icon or a Gmail icon.
  6. Enter your full email address and tap Next.
  7. Enter your password. If it asks for manual setup, select Manual Setup to manually input port numbers, security type (SSL/TLS), and server addresses (mail.yourdomain.ca).
